In line with the General Data Protection Regulation (GDPR) we want to tell you (our supporter) how we collect, use and store information about you (personal data) which is our Privacy Policy. At Wellbeing of Women, we are committed to protecting and respecting your privacy. What type of personal information we hold

When you contact us via our website or at events and seminars, we will store the information you provide about yourself so we can liaise with you again.

This includes your name, email address, postal address and phone numbers. We will also take your credit card details if you make a donation and this is then deleted and not stored as soon as the payment has been taken. We may also hold details of our relationship history with you, which events you have attended, how you have supported us in the past, your job and any special areas of interest to make our relationship more relevant. We might create a profile of you to tailor our contact and approaches. Our supporters are vital to Wellbeing of Women and without them, we could not have funded so much of the amazing work we do that has led to the routine treatments we all take for granted today.

How and where we collect information

We collect information about you in the following ways. When you:

  • buy tickets to our events
  • donate to us or fundraise for us
  • sign up to receive news about our activities
  • contact us via social media
  • volunteer for us
  • attend a meeting or event with us and provide us with information

  • when you or your business is featured on our website or at our events

In addition, sometimes we may look at publicly available information on websites such as Linkedin, Companies House or in newspapers.

We may also receive your information when you fundraise for us via other organisations such as Just Giving or Virgin Money. They should only do so in the way they have set out in their own Privacy Policy which you can check when you give your details.

When you contact us via social media and messaging services you use, like Facebook, Instagram or Twitter, you might give us permission to access information from those accounts or services.

How we use your personal information

We will use your personal information in a number of ways. For example:

  • alerting you to events and seminars so you or your friends can attend
  • to provide you with the latest research information and health news
  • processing donations you make, including processing for Gift Aid purposes
  • organising volunteering activity, you have told us you want to be involved in and in relation to the fundraising you are involved in for us
  • creating a profile to detail your interests, job, connections, past support and this may include information from publicly held resources like Linkedin, newspapers or Companies House so we can tailor our approach
  • to contact you about our campaigns, and appeals for other fundraising activities and promotions for which we seek support
  • seeking your views on the services or activities we carry on so that we can make improvements
  • maintaining our organisational records and ensuring we know how you prefer to be contacted
  • analysing the operation of our website and analysing your website behaviour to improve the website and its usefulness

For how long do we hold your information?

If there is a financial transaction, we are obliged to hold the information for 6 years. We will delete credit card details as soon as they have been processed.

As our relationship with your, our supporter, is vital to the pioneering research the charity funds, we will hold your details to reach out to you from time to time until you tell us not to.

Your rights and keeping your information up to date

We really appreciate you letting us know if your contact details change or you no longer want to hear from us. If you no longer wish to hear from us or want to change the way we contact you please contact us at hello@wellbeingofwomen.org.uk or phone us. Please be aware we may need to keep some of your details on file so we can note your preference not to be contacted.

Sharing your information

Wellbeing of Women does NOT buy or swap lists with other organisations.

How we keep your information safe and who has access

We understand the importance of security of your personal information and take steps to safeguard it. We ensure that there are appropriate technical controls in place to protect your personal details. For example, our online forms are always encrypted and our network is protected and routinely monitored.

We undertake regular reviews of who has access to information that we hold to ensure that it is only accessible to appropriately trained staff, volunteers and contractors. All information is password protected

Sometimes, if attending an event, your name will be sent to caterers, planners or hosts to help arrange access, seating and table plans.

Occasionally we use external platforms like Mailchimp but they only have access to the minimal details needed to send a communication. If any of our suppliers run their operations outside the European Economic Area (EEA) we will take steps to make sure they provide an adequate level of protection in accordance with UK and EU data protection law.

We may release your information where we are required to do so by law, to enforce our site policies or protect ours or others’ rights, property or safety.

Other than this, we will not share your information with other organisations without your explicit consent.

Payment card information

If you make a donation or pay for an event or product online or over the phone, we will ensure this is done securely. Card details given to us over the telephone, online or on paper forms are destroyed or deleted as soon as the payment has been processed. Where payments are processed online or via bank transfer they are processed by our partner companies and the data is encrypted and we will never receive those account or card details.

Children’s Information

We appreciate that our supporters are of all ages and sometimes children will feature in stories on our website or in our newsletters. Where appropriate we will ask for consent from a parent or guardian before using that information.

Sharing your story

Some people choose to tell us about their health related experiences and stories. They may take on a role as an Ambassador or attend our patient focused events. If we have the consent of the individuals, or their parent or guardian if they are under 18, this information may be made public by us at events, in materials promoting our campaigning and fundraising work, on our website or in documents such as our annual report. We may, at times, repost relevant public postings people have chosen to share on social media.
