1) Overview

At Eggu Ltd we take your privacy very seriously. In order to provide access to the service we must collect and store some personal information about you. Our products and user databases are held by TSOHOST from whom we purchase I.T. servers and services. Servers are located within the UK. Regular data and database backups are included in their hosting service.

Whilst Eggu manages your learning management system (LMS) to support your learning, your data is uploaded and amended by yourself and/or Wellbeing of Women. Eggu does not make use of your personal data for marketing and does not share this data with any third party. You and/or Wellbeing of Women are responsible for the accuracy of any personal data held and reserve the right to amend or delete this data, as and when this data is no longer required.

2) Security

Whilst your personal data forms part of the overall learning management system, we ensure that this is protected from file corruption and loss. All our learning management sites and databases are continuously monitored by SUCURI for virus and malware protection, and data corruption etc. Their service includes the repair, recovery and removal of any intrusion.

3) Minors

Children under 16 years of age are not permitted to access the services provided. By agreeing to this privacy policy you are also agreeing that you are 16 years of age or older.

4) What is collected?

Basic profile information is collected from you when you create your account including your full name and email address.

As you use the site, information about the users, courses, activities and resources you interact with will also be stored and linked to your profile information.

5) How is the information used?

In most cases your personal data will have been entered by yourself or Wellbeing of Women. Only when requested will Eggu add or amend information for you. This information is only used to provide you with access to the online courses at https://learn.wellbeingofwomen.org.uk. Statistical information about usage of the site is also used to improve the platform and services provided. Wellbeing of Women may request that they also have access to reports generated from this data for monitoring.

7) Who is my data shared with?

Eggu Ltd manages the learning management system for Wellbeing of Women, and the user data is shared with Wellbeing of Women only. TSOHOST is the hosting company for your data and will have full access to the account for administration and support purposes, they have strict data compliance rules and are legally bound to not share your information or make any change to your site content without suitable request from a listed account owner.

8) How long is my data stored?

Your personal data is stored for as long as you continue to be a registered user on the site. Eggu will not remove or amend any data without the authorisation from Wellbeing of Women. However, you have the right to request that the accuracy of any data held is kept up to date, or deleted by contacting Wellbeing of Women.

9) How do I withdraw my consent for Eggu Ltd to store and process my personal data?

If you have previously consented to allow Eggu Ltd to store and process your personal data in accordance with this privacy policy, and you wish to withdraw your consent, please send an email to the data protection officer at gdpr@eggu.co.uk. You will then no longer be able to access the services provided if your consent is withdrawn.

In line with the General Data Protection Regulation (GDPR) we want to tell you (our supporter) how we collect, use and store information about you (personal data) which is our Privacy Policy. At Wellbeing of Women, we are committed to protecting and respecting your privacy. What type of personal information we hold

When you contact us via our website or at events and seminars, we will store the information you provide about yourself so we can liaise with you again.

This includes your name, email address, postal address and phone numbers. We will also take your credit card details if you make a donation and this is then deleted and not stored as soon as the payment has been taken. We may also hold details of our relationship history with you, which events you have attended, how you have supported us in the past, your job and any special areas of interest to make our relationship more relevant. We might create a profile of you to tailor our contact and approaches. Our supporters are vital to Wellbeing of Women and without them, we could not have funded so much of the amazing work we do that has led to the routine treatments we all take for granted today.

When you contact us via social media and messaging services you use, like Facebook, Instagram or Twitter, you might give us permission to access information from those accounts or services.

We will use your personal information in a number of ways. For example:

For how long do we hold your information?

If there is a financial transaction, we are obliged to hold the information for 6 years. We will delete credit card details as soon as they have been processed.

As our relationship with your, our supporter, is vital to the pioneering research the charity funds, we will hold your details to reach out to you from time to time until you tell us not to.

Your rights and keeping your information up to date

We really appreciate you letting us know if your contact details change or you no longer want to hear from us. If you no longer wish to hear from us or want to change the way we contact you please contact us at hello@wellbeingofwomen.org.uk or phone us. Please be aware we may need to keep some of your details on file so we can note your preference not to be contacted.

Sharing your information

Wellbeing of Women does NOT buy or swap lists with other organisations.

How we keep your information safe and who has access

We understand the importance of security of your personal information and take steps to safeguard it. We ensure that there are appropriate technical controls in place to protect your personal details. For example, our online forms are always encrypted and our network is protected and routinely monitored.

We undertake regular reviews of who has access to information that we hold to ensure that it is only accessible to appropriately trained staff, volunteers and contractors. All information is password protected

Sometimes, if attending an event, your name will be sent to caterers, planners or hosts to help arrange access, seating and table plans.

Occasionally we use external platforms like Mailchimp but they only have access to the minimal details needed to send a communication. If any of our suppliers run their operations outside the European Economic Area (EEA) we will take steps to make sure they provide an adequate level of protection in accordance with UK and EU data protection law.

We may release your information where we are required to do so by law, to enforce our site policies or protect ours or others’ rights, property or safety.

Other than this, we will not share your information with other organisations without your explicit consent.

Payment card information

If you make a donation or pay for an event or product online or over the phone, we will ensure this is done securely. Card details given to us over the telephone, online or on paper forms are destroyed or deleted as soon as the payment has been processed. Where payments are processed online or via bank transfer they are processed by our partner companies and the data is encrypted and we will never receive those account or card details.

Children’s Information

We appreciate that our supporters are of all ages and sometimes children will feature in stories on our website or in our newsletters. Where appropriate we will ask for consent from a parent or guardian before using that information.

Sharing your story

Some people choose to tell us about their health related experiences and stories. They may take on a role as an Ambassador or attend our patient focused events. If we have the consent of the individuals, or their parent or guardian if they are under 18, this information may be made public by us at events, in materials promoting our campaigning and fundraising work, on our website or in documents such as our annual report. We may, at times, repost relevant public postings people have chosen to share on social media.
